Privacy Policy

Helvy is a job search and documentation application for people looking for work in Switzerland, in particular those registered with a regional employment office (RAV, ORP or URC).

The controller responsible for the personal data processed through the Helvy mobile application and the website helvy.jobs is:

You may upload your CV as a PDF. If you do, it may contain contact details, professional history and any other information you chose to put in it. Uploading a CV is optional.

You may draw your signature in the app so that it can be placed on documents you generate, including cover letters and your monthly job search record. Providing a signature is optional and every document can be generated without one. We record the date and time you agreed to store it.

• Running the service: authenticating you, showing your dashboard, tracking your progress against your quota.
• Job matching: ranking and filtering offers against your profile, occupation codes, permit and preferences.
• Generating documents: producing your CV, your cover letters and your monthly job search record, and placing your signature on them if you have stored one.
• Reading an offer you provide: extracting employer, title and details from text you paste or from images you upload.
• CV extraction: pre-filling your profile from the CV you uploaded.
• Subscription management: checking your entitlement with the app store.
• Proof of acceptance: keeping a record of the age confirmation and the version of the terms you accepted.

Legal bases

• Performance of a contract (Art. 6(1)(b) GDPR): everything needed to deliver the subscription you took out, including matching, document generation and your job search record.
• Consent (Art. 6(1)(a) GDPR): optional CV upload, optional signature, optional AVS/AHV number. You can withdraw consent at any time by deleting the item in Settings; withdrawal does not affect processing already carried out.
• Legitimate interests (Art. 6(1)(f) GDPR): security of the Service, and keeping a record of your acceptance of the terms so that both sides can rely on it.

Under the Swiss FADP, the corresponding basis is that the processing is necessary to perform the contract or is justified by your consent.

Automated processing

Match scores and generated text are produced with automated assistance. They are suggestions: no decision with a legal effect on you is taken automatically. You review and decide everything, and you can edit any generated document before you use it.

We use a small number of providers to operate Helvy. They act as processors on our instructions, are bound by contract, and may not use your data for their own purposes.

Payment details such as card numbers are handled entirely by Apple or Google. Helvy never receives them.

Your account data, your job search record, your CV, your signature and your generated documents are stored on servers located in Switzerland.

Measures in place

• Encrypted in transit with TLS 1.2 or higher
• Encrypted at rest
• Row-level access rules so that each account can read and write only its own data
• CV files stored in a private area reachable only by the authenticated account holder
• Signature images stored in a separate private area, served through short-lived links that expire automatically, and never publicly reachable
• Your AVS/AHV number stored only in your own account record
• No routine access by us to an individual account's content
• Data minimisation before any AI processing: only the text the task needs is sent, and never your AVS/AHV number, your address, your bank details or your signature

You can delete your account at any time in Settings → Delete Account. Deletion is permanent and takes effect within 30 days, except for the records above that we are required or entitled to keep as proof.

Under the GDPR and the Swiss FADP you have the right to:

• Access a copy of the personal data we hold about you
• Rectify inaccurate data, directly in the app at any time
• Erase your data by deleting your account
• Port your data: export your job search record and your profile data in a machine-readable file
• Restrict processing while a dispute is pending
• Object to processing based on legitimate interests
• Withdraw consent for your CV, your signature, your AVS/AHV number or analytics, at any time
• Not be subject to a decision based solely on automated processing that produces legal effects for you. We take no such decision.

To exercise a right, write to privacy@helvy.jobs. We reply within 30 days.

Complaints

If you believe your rights have not been respected, you may lodge a complaint with a supervisory authority:

• In Switzerland: the Federal Data Protection and Information Commissioner, edoeb.admin.ch
• In the European Union: the authority of your country of residence, or, for the controller's establishment, the French Commission nationale de l'informatique et des libertés, cnil.fr

Helvy is not intended for anyone under 16. You must be at least 16 to create an account, and if you are under 18 your parent or legal representative must consent both to your use of the Service and to the subscription, as set out in our Terms of Service.

We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, write to privacy@helvy.jobs and we will delete it promptly.

We may update this policy. When we make a material change we will notify you by email and in the app at least 14 days before it takes effect, and the version identifier at the top of this page will change. The current version is always available at helvy.jobs/privacy-policy/.

If you do not agree with a change, you can delete your account before the effective date.
